Recently, Kejin welcomed two business partners from Southeast Asia to our PVC Panel factory. During several weeks of online discussions, both sides exchanged details about PVC ceiling panel specifications, surface finishes, and customization requirements. To gain a better understanding of our actual manufacturing capabilities and verify key product and order details before placing a bulk order, the two partners traveled to China to visit the Kejin factory in person.
The visit covered our production workshops, raw material warehouse, finished product inventory, export packaging, and customized production arrangements. For overseas building material distributors, purchasing decisions involve more than product pricing. Buyers also need to consider whether a supplier can manufacture according to agreed specifications, maintain a consistent supply, and meet the packaging and delivery requirements of bulk orders. The factory visit gave both sides an opportunity to discuss these practical matters directly.
Inside Our PVC Ceiling Panel Factory
During the visit, the Kejin team guided the two partners through our main extrusion workshop and raw material warehouse to introduce the PVC ceiling panel manufacturing process. In the production workshop, the visitors observed our automated production equipment in operation and discussed key manufacturing processes with our team, including raw material mixing, extrusion, and subsequent surface treatments. For decorative products featuring wood-grain or marble-look patterns, the choice of surface finish is also an important part of customization. Depending on the product design, Kejin uses heat transfer printing or lamination to achieve different surface textures and decorative effects.
The factory tour gave our partners a clearer understanding of how our products are manufactured and allowed them to discuss suitable product specifications and customization options based on their purchasing requirements and target markets. Compared with reviewing product images alone, seeing the equipment and finished products in person provides buyers with a more practical basis for evaluating a supplier.
Product Quality and Export Packaging
Product quality and packaging were also important parts of the factory inspection.During the visit, the two partners examined product samples, paying close attention to panel dimensions, wall thickness, surface patterns, and overall appearance. They also checked consistency between different samples. For bulk purchases of PVC ceiling panels, these details can affect installation results, appearance, and the products’ suitability for the target market.
The visitors then toured the finished goods warehouse to check available inventory, export packaging, and pallet stacking arrangements. They also discussed potential risks during long-distance shipping and handling. Packaging needs to be planned according to panel specifications, order quantities, and transportation requirements. Appropriate protective packaging and stacking methods can help reduce the risk of damage, including crushing and scratching, during transit.
For overseas wholesalers and importers, inspecting samples, reviewing packaging arrangements, and clarifying acceptance requirements before placing an order can help minimize discrepancies between purchasing expectations and the final delivery.
Confirming Custom Order Details
After touring the production workshops and warehouse, both sides held further order discussions and confirmed the specific customization requirements one by one. These included product colors, surface patterns, finishes, product codes, packing quantities per carton, brand logo placement, and production date formats. For customized bulk orders, even seemingly minor details can affect production arrangements, packaging identification, and subsequent warehouse management. It is therefore important to clarify these requirements before production begins. Both sides also discussed packaging requirements and the estimated shipping schedule so that the factory could arrange production based on the confirmed order details.
For overseas distributors that regularly source building materials from China, clearly defined specifications help the factory execute orders more accurately and allow buyers to manage their product ranges, inventory, and future replenishment more effectively. The face-to-face discussions enabled both sides to review product details directly and establish clearer requirements for the next stage of production.
Sharing a Meal with Our Partners
After the factory tour and order discussions, we invited our two partners to join us for a meal. Sitting together at an outdoor street-side table, we enjoyed local barbecue and continued talking about local market conditions, customer preferences, and future purchasing plans.
Unlike the daytime discussions focused on product specifications and production arrangements, the conversation over dinner was more relaxed. It also gave us an opportunity to gain further insight into our partners’ markets and business needs. At Kejin, communication with overseas partners does not take place only in production workshops and meeting rooms. These face-to-face conversations helped both sides get to know each other better and added a pleasant experience to the factory visit.
From Factory Visit to Order Confirmation
Shortly after returning home, our partners officially confirmed their order and paid the deposit. Kejin then began arranging the bulk production schedule based on the specifications and requirements agreed upon by both sides. From the initial online product inquiries to the on-site inspection of production equipment, sample checks, and confirmation of customized specifications, each step helped both sides develop a clearer understanding of the product requirements and production arrangements.
For manufacturers, accurately understanding a buyer’s requirements is essential to handling customized orders effectively. For overseas buyers, verifying product details, packaging requirements, and production arrangements in advance helps them manage the purchasing process more systematically. This cooperation reflects Kejin’s approach to serving overseas customers: discussing actual product needs, confirming order details, and moving production forward according to the agreed requirements.
